As an Administrative Coordinator, you will coordinate and perform a wide variety of administrative activities to support the Medical House Calls department functions. To help achieve our mission, you will provide secretarial support to directors, managers, the clinical team, patients and community resources to facilitate completion of department work. Possess a positive, cheerful, can-do, collaborative attitude for internal and external interactions.

Inova Fairfax is seeking an Administrative Coordinator to join the Physician Services and Community Health team in the: Medical House Calls Program for Geriatric & Advance Illness homebound patients .

  • This position is a Part-time day shifts, working three - 8hour days between Monday-Friday.

Requirements for consideration:

  • High school
  • One year of relevant office or healthcare experience.

Job Responsibilities included but not limited to:

  • Professionally answer and place phone calls for a busy primary care office.
  • Communicate promptly and clearly patient and care team needs. Learn how use SBAR (Situation, Background, Assessment & Recommendation) to communicate with providers and other colleagues.
  • Communicate in-person, through the patient's electronic medical record, telephone encounters and via established communication pathways for the program.
  • Patient appointment scheduling, registration and checkout.
  • New patient intakes, consenting, and onboarding paperwork management.
  • Manage incoming requests for providers and team via electronic fax.
  • Manage medical and office supply inventory and ordering.
  • Plan and participate actively in team meetings, huddles, and events.
  • Provide support efficiently and effectively to department operations, processes and procedures.
  • Ensures maintenance of hard copy and computer files.
  • Builds and maintains databases using Access, Excel, and specialized database applications.
  • Designs, formats and edits documents and presentations using intermediate and advanced features of MS Office applications (Word, Excel and Power Point).
  • Coordinates schedules of support staff to provide backup for department (meetings, education and PTO). Orients new employees and provides training in department policies and procedures.
  • Create, maintain and terminate patient charts in compliance with medical record guidelines. Ensures integrity of medical record including patient identification. Guarantees timely documentation and chart documents are placed in the chart/uploaded for comprehensive patient management.
  • Schedules and coordinates arrangements for meetings and special events including facilities, catering and logistics. Makes travel arrangements as needed.
  • Tracks and monitors department budget, research variances, creates and maintains spreadsheets and creates statistical reports. Prepares and distributes monthly budget reports. Assists in preparation of annual budget proposals.
  • Processes requisitions, invoices, expense reports, prepares check requests, determines appropriate accounting codes and ensures data entry of appropriate information.
  • Maintains confidential employee records for department staff, processes time sheets, tracks PTO and serves as a liaison with payroll and Human Resources.
  • Other duties as assigned.
